Working with contacts in the SEVIO manual dialer
Contents:
Information on campaign management in the manual dialer can be found here.
1. Creating a new contact
First, we make sure that creating new contacts is enabled in the campaign. We go to the campaign settings, tick the "Allow creating new contacts" option and save the campaign settings. Now we click the campaign name and can start working with contacts.
To add a new contact to the campaign, we click the "Create new contact" button and confirm the choice.
An empty contact form appears, where we fill in the person's name and phone number. If we do not know the person's name, we can use the phone number instead.
After entering the phone number into the appropriate field and leaving it, the system notifies us that if we want to call the number with a click, we must first save the form. This also completes the process of creating a new contact.
Tip: There is another way to create a new contact. If we are currently talking to someone, we can click the phone icon in the campaign header during the call. The system automatically recognizes whether the contact is stored in the campaign. If it is not, it offers to create a new contact and pre-fills the name and phone number in the form. Otherwise, it opens the contact card directly.
2. Changing contact status
We will show how to move contacts from the Completed status back to New in a manual dialer campaign. We use this option when, for example, after a year we want to call through already-processed contacts again.
From the campaign list, we select the campaign we want to edit and press the Edit campaign button. In the campaign edit form, we click the Contacts tab and select the Change status item.
In the displayed contact status change form, we select Completed in the From status field and New in the To field. Then we press the Change contact status button and confirm the choice.
Tip: all data in the contact card, apart from the aforementioned status, is preserved, so the operator can rely on it in a future call with the client.
3. Handling an ongoing call
First, we make sure that creating new contacts is enabled in the campaign. We go to the campaign settings, tick the "Allow creating new contacts" option and save the campaign settings. Now we click the campaign name and can start working with contacts.
At this point we are ready to take a call and create a new contact from it, or open the card of an existing contact if the caller is already stored in the system.
With the caller on the line, we press the phone icon in the campaign header. The system first tries to find the contact in the campaign. If it does not find it, it offers to create a new contact and pre-fills the phone number, which it also uses as the caller's name. After filling in the available contact details, we save the form.
If the contact already exists in the campaign and we click the phone icon in the campaign header while the phone is ringing or during the call, the system automatically finds the contact and opens its card. This way we can find out in advance who we will be talking to and see what we have dealt with them in the past.
4. Importing contacts
Contacts are imported from the Campaign settings, Contacts/Import tab.
To import contacts, you will need either a CSV file or an MS Excel file.
The import file must contain at least two columns labelled with a keyword:
NAME - the name of the person we will be calling. If we do not know it, we can use the phone number and fill in the name after reaching the person.
DN1 - the phone number of the person we will be calling.
A sample document explaining the individual column names can be downloaded here.
